Privacy Policy

Last updated: April 2026

VVaze Ltd ("MultiHR", "we", "our", or "us") operates the MultiHR workforce management platform available at vvaze.com and via our mobile applications. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

By accessing or using MultiHR, you agree to this Privacy Policy. If you do not agree, please discontinue use of the service.

1. Information We Collect

Personal Information

When you register or are added to the platform, we collect:

  • Full name
  • Phone number
  • Email address
  • Profile photo (optional)
  • Role and employment information provided by your employer

Location Data

MultiHR collects GPS location data from mobile devices when you use the clock-in/clock-out feature. Location data is used to verify that you are present at an authorized work site (geofencing). We collect location only when the app is in use and only for shift-related actions, unless your employer has configured background tracking.

Work Shift Data

  • Clock-in and clock-out timestamps and locations
  • Shift assignments and schedules
  • Time-off requests and approvals
  • Attendance records

Documents and Signatures

We may collect digital documents and electronic signatures submitted through the platform as required by your employer.

Device and Usage Data

  • Device type, operating system, and app version
  • Push notification tokens (for sending work-related alerts)
  • Log data and error reports
  • Feature usage patterns (aggregated and anonymized)

2. How We Use Your Information

  • To provide and operate the MultiHR platform
  • To verify attendance via GPS geofencing during clock-in/clock-out
  • To send push notifications, SMS, and email alerts related to your work schedule
  • To enable your employer to manage workforce scheduling and payroll
  • To process and store digital documents and signatures
  • To improve platform features and performance through aggregated analytics
  • To comply with applicable laws and regulations

3. GPS and Location Data

Location data is a core feature of MultiHR's attendance management system. Here is what you should know:

  • Geofencing: Your employer defines geographic zones for work sites. The app checks your GPS coordinates against these zones when you clock in or out.
  • Visibility: Your location at the time of clock-in/clock-out is visible to your employer's administrators within their tenant account.
  • Collection window: Location is captured at the moment of the clock-in or clock-out action. We do not continuously track your location outside of that interaction unless specifically configured by your employer.
  • Retention: Location records are retained as part of the attendance record for the duration required by your employer's data retention settings and applicable labor law.

4. How We Share Your Information

We do not sell your personal data. We share information only in the following circumstances:

  • Tenant administrators: Your employer (the tenant who set up the MultiHR account) can access your profile, schedule, attendance records, and documents within their isolated workspace.
  • Service providers: We use third-party providers for SMS delivery, push notifications, email, cloud hosting, and error monitoring. These providers process data only on our behalf under data processing agreements.
  • Legal obligations: We may disclose data if required to do so by law, court order, or governmental authority.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of the transaction, with prior notice.

5. Data Storage and Security

Your data is stored on secure cloud infrastructure with encryption at rest and in transit (TLS). We implement access controls, audit logging, and regular security reviews. While we take reasonable measures to protect your data, no system is completely immune to security incidents.

6. Cookies and Local Storage

The MultiHR web app uses browser local storage only for:

  • Theme preference (light/dark mode)
  • Language preference

We do not use third-party advertising cookies or tracking pixels.

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data.
  • Deletion: Request deletion of your personal data, subject to our legal obligations and your employer's data retention requirements.
  • Portability: Request an export of your data in a machine-readable format.

9. Changes to This Policy

We may update this Privacy Policy from time to time.
